The cost of renting an LED screen is determined by the complete delivery scope, not by screen area alone. The most useful first brief states the visible screen size, indoor or outdoor location, audience distance, content format, installation method, venue access, event dates and operating hours. Those inputs allow a supplier to select suitable panels, processing, structure, power distribution, transport and crew instead of pricing an unsafe or incomplete package.

What an LED screen rental quote should include

A credible quote normally combines equipment and services. The display package includes LED cabinets, video processors, signal distribution, cabling and appropriate redundancy. Delivery may also require a ground-support structure or approved flown rigging, ballast, weather protection, power distribution, transport, installation crew, an operator, standby support and dismantling. Venue charges, permits or lifting equipment may sit outside the supplier's scope, so exclusions matter as much as the headline figure.

Screen area is still important: more cabinets mean more equipment, handling and power. However, two screens of equal size can have different scopes. A fine pixel pitch intended for close viewing uses a different product class from a screen watched across a field. Four transparent configuration examples

  1. Indoor conference stage. Assume a medium-width 16:9 screen, controlled lighting, seated viewers beginning several metres away, direct loading access and presentations from two laptops. The quote should cover an indoor panel type, processor, signal switching or seamless input handling, ground support, installation and a technician for testing. A finer pitch may be justified if the first rows must read small text; otherwise it may add cost without a visible benefit.

  2. Outdoor public screening. Assume a larger audience area, daylight operation, weather exposure and installation on a temporary event site. The scope must account for outdoor-rated panels, suitable brightness, wind management, ballast or engineered support, protected power and a weather operating plan. Site access, ground bearing capacity and local wind limits can matter more than a small change in screen width.

  3. Exhibition stand with close viewers. Assume a compact screen integrated into a branded stand, visitors within a few metres and detailed product graphics. Close viewing favours a smaller pixel pitch, but stand dimensions, ventilation, cable routes and build-order coordination may dominate labour. Confirm whether the screen is independently supported or connected to an approved stand structure; visual integration does not remove structural responsibility.

  4. Live show with a flown screen. Assume a stage production, certified venue roof points, cameras, live switching and a short overnight installation window. The equipment list may include processing redundancy, test equipment and a dedicated operator. Rigging calculations, motors, lifting supervision and strict access timing create a different scope from a same-size screen placed on the floor.

How to obtain a comparable quote

Send every supplier the same brief. Include venue address, indoor or outdoor use, desired visible dimensions, nearest and furthest viewing positions, event and access schedule, content resolution, source connections, sound or camera interfaces, and whether the screen must be ground-supported or flown. Ask the quote to identify panel specification, visible resolution, structure, power assumptions, crew hours, transport, operation, contingency, cancellation terms and exclusions.
